FileDrop is operated in compliance with the Family Educational Rights and Privacy Act (FERPA), 20 U.S.C. § 1232g, and its implementing regulations, 34 C.F.R. Part 99. Educational records created or maintained in FileDrop are used exclusively for the purpose of evaluating and awarding credit for prior learning.
What FERPA Protects
FERPA protects the privacy of student education records. In FileDrop, this includes:
- Your name, email address, and student ID (demographic information).
- Portfolio artifacts and documents you upload.
- Rubric evaluations, scores, and faculty feedback on your submissions.
- Credit-hour awards and acceptance decisions.
Your Rights Under FERPA
Right to Inspect
You have the right to inspect and review your education records maintained by your institution. Your portfolio, documents, rubric scores, and evaluator feedback are accessible from your student dashboard at any time.
Right to Request Corrections
You have the right to request corrections to records you believe are inaccurate or misleading. Contact us at support@rubriqflow.com to initiate a correction request.
Right to Control Disclosure
We do not disclose your education records to third parties without your written consent, except as permitted or required by FERPA (e.g., school officials with legitimate educational interest, or as required by law).
Right to File a Complaint
You have the right to file a complaint with the U.S. Department of Education concerning alleged failures to comply with FERPA. Contact the Family Policy Compliance Office at: studentprivacy.ed.gov
How We Protect Your Records
Access control: Faculty reviewers can only see portfolios that have been assigned to them by your organization administrator. Reviewer identity remains anonymous to students to prevent bias. No user can access another user’s records without explicit authorization.
Data minimization: We collect only the demographic and portfolio information needed to evaluate prior learning credit.
Retention and deletion: Your data is retained while your account is active and deleted within 180 days of account termination, except where law requires longer retention.
No sale of data: We do not sell, rent, or share your education records with third parties for marketing or any non-educational purpose.
